How to Prepare your Poster

Oral Presentations

Session language and duration

The Congress’ official languages are English, French, and Spanish. Where not specified otherwise, all sessions are being held in English.

Simultaneous translation is only available in the Nusa Dua 5 lecture room (translation from English to Spanish and French).

The time reserved for a presentation varies according to its type:

An oral presentation
15 minutes presentation + 5 minutes for discussion
A Three-minute Thesis
3 minutes + short discussion
A workshop
90 minutes

All authors are asked to respect the assigned times.

Presentation format

The preferred presentation format is a Powerpoint file (.PPTX) with a 16:9 aspect ratio. However, you can also bring/ submit a pdf file, Powerpoint in 4:3 aspect ratio or you don’t have to bring a presentation at all. Even if you don’t have a presentation, please notify the staff in the Speakers’ Preview Room about it.

Supported file types:

PPTX, PDF (200 MB maximum)

When saving your final presentation to the USB stick do not forget to make sure to include your video files and all links to these multimedia files.

Uploading your presentation

1)    in the SPEAKERS PREVIEW ROOM

Please note, that you cannot use your own computer to present. In order to give a presentation, you need to deliver your files to the Speakers’ Preview Room at least two hours before the session. The presentation for an early morning session must be handed over the day before.

In the preview room, you will be able to review your presentation and to verify that it has been transferred correctly to the network. Present AV technicians will assist with possible issues.

Your presentation will be automatically available in the corresponding lecture room.

2)   uploading your presentation ONLINE

Instead of visiting the Speakers Preview Room, presenters will have the possibility to upload their slides online prior to the Congress through the online Congress platform. Upload will be open between 23 May and 5 June, a corresponding link will be shared in time.

At the beginning of your session

All speakers are requested to be present in the lecture room 10 minutes before the session starts to meet with the session chair.

All presentations must be downloaded in the Speakers Preview Room beforehand (or submitted online prior to the Congress).

Your presentation will be transferred directly to the lecture room through the intranet. Once the presentation is launched on the computer in the respective lecture room, you will advance your slideshow using the remote controller.

If any problems occur, there will be assisting staff in each lecture room.

Recording and online viewing

All presentations (except for workshops) will be recorded, and made available in on-demand sessions (for 4 months after the Congress) and therefore, all speakers are kindly asked to prepare their presentations with care for online viewing, including respective consent on text and photo usage.

Disclaimer

By registering to the Congress, you have automatically agreed with your presentation being recorded and available on demand after the Congress.

Three-minute Thesis

Your presentation should be no more than 3 minutes and you may use no more than 1 Powerpoint slide.

Please ensure that you review the Three-minute Thesis/Research/ Practice Innovation format prior to preparing a presentation. This format does not allow for extensive presentation of research/innovation details and results. It is rather an exercise in engaging and communicating with the audience about your topic. It is more similar to a TED Talk or an "elevator pitch" (https://en.wikipedia.org/wiki/Elevator_pitch). Here are some examples from various fields including midwifery:

Workshops

The workshop must be no more than 90 minutes.

Equipment

​The Congress organizers will provide presentation audio-visual & sound equipment, chairs and tables. We cannot guarantee a wifi connection. Any other equipment needed for the workshop must be provided by the presenters.

Limit of participants

All participants will enter the room on first come, first served basis and the stewardess at the door will be informed of the specific limit you have selected (within the abstract submission).

Poster Presentations

Poster sessions & mounting

Poster authors are requested to upload their electronic poster (see Poster upload) as well as to bring their printed poster to the venue.

Posters are divided into two different Poster groups (see below) and it is expected that each presenter will be available at the poster during the designated time with copies of their poster to discuss it with congress participants:

Group A poster sessions:

Monday, 12 June
12:30 – 14:00
Poster session 1 (ODD posters numbers: PA-001, PA-003...)
Monday, 12 June
17:30 – 19:00
Poster session 2 (EVEN poster numbers: PA-002, PA-004…)

Group A posters will be displayed in the Nusa Dua 3 hall on Monday. Group A posters should be mounted on the poster board on Monday morning, ideally before the first poster session at 12:30, and must be removed on the evening of the same day by 19:15.

Group B poster sessions:

Tuesday, 13 June
12:30 – 14:00
Poster session 3 (ODD posters numbers: PB-001, PB-003...)
Wednesday, 14 June
12:30 – 14:00
Poster session 4 (EVEN posters numbers: PB-002, PB-004...)

Group B posters will be displayed in the Nusa Dua 3 hall on Tuesday & Wednesday. Group B posters should be mounted on the poster board on Tuesday morning, ideally before the first poster session at 12:30, and must be removed after the second session on Wednesday (14:15).

All presenters should bring their poster to the Congress venue in print form already.

Each poster board will have a specific number. Please make sure to mount your poster on the poster board with the number corresponding to the number assigned to your poster presentation. The poster number is available in the Congress programme (PA-001/ PB-001).

Should you need any assistance with the poster display, we will happily assist you at the Poster desk.

Poster size

Maximum poster dimensions (the format is PORTRAIT):

Width: 95 cm

Height: 150 cm

Your poster must not exceed the recommended size. Prepare your material beforehand so that it will fit the space available and can be easily attached to the board. For poster material, we recommend using 150 – 260 gsm max. Matte / Glossy paper (with high resolution print of 150 pixel/inch). Do not use heavy materials. The organizers will provide suitable fixing materials.

    • Price is USD 30.00/set*
  • Poster with PHOTO PAPER GLOSSY material, size. 95xH.150cm, 240-260 gram
    • Price is USD 35.00/set*

* Price includes 11% VAT, production and ready for pick up as of 9 June 2023 from Bali Nusa Dua Convention Centre Exhibitors Service Desk onsite.

Authors will be required to identify themselves with an ID Card to collect their poster at the service desk.

 

Poster artwork must be submitted by latest 16 May 2023 in the following format .AI or .PDF 1:2 with min. resolution 200 pixel/inch.

File must be emailed to: official@cityneonindo.com (C/o: Jean Kusno).

Payment can be made by bank transfer or credit card (transaction fee will apply) beforehand.

How to Prepare Your Poster

Please kindly note that the specific poster presentation guidelines for the 33rd ICM Triennial Congress are available in page POSTER PRESENTATIONS.

  • Present numerical data in the form of graphs, rather than tables (graphs make trends in the data much more evident).
  • If data must be presented in table-form, keep it simple.
  • Avoid acronyms and extensive mathematical notations as much as possible.
  • Posters should have a maximum of 600 words. Avoid submitting compactly packed, high word-count posters.
  • Please remember that you are not writing an article.
  • Use the 20-40-40 rule. 20% text, 40% graphics, 40% white space
  • Organize your poster into subdivisions:
    => For research posters: e.g. Introduction (aims/objectives), Methods, Results, Discussion, Conclusions, and only key references (two or three maximum).
    => For practice/commentary posters: Introduction/background (rationale), describe the project/patient initiative/practice issue, describe the implementation, results, implications, plans for sustainability
  • Be sure that your poster attracts attention, emphasizes important points, reads easily, and stimulates interest. Use, but don’t overuse bold fonts and colors.
  • Facts should be printed in single phrases or words, using bullets.
  • Use a consistent font throughout.
  • Avoid the use of abbreviations and acronyms.
  • Handouts of your abstract/poster in A4 format, with your contact information, may facilitate future research/practice communications with fellow congress attendees.
  • Title, contents and the author’s information should be visible from a distance of 1-2 feet.
  • The text should be readable from five feet distance.
  • The dimensions of the poster board are PORTRAIT style: 95 cm (width) by 150 cm (height).
